How to use MaxVFY

Everything you need to create an identity-verification request, send it to the right person, follow its progress, understand the result, and keep your request history organized.

1. What MaxVFY does

MaxVFY gives you a simple way to request identity verification when you decide it is appropriate. Create a secure 24-hour request, send the link or show the QR code to the person being verified, and follow the request until you receive a result.

You stay in control. MaxVFY does not automatically verify every customer or order. You choose when a verification request is appropriate and how to send it.

You can identify each request with your own reference or purpose and an optional internal note, so you can recognize it later without MaxVFY needing your Shopify customer or order records.

A successful identity check is not a guarantee that a transaction is safe. Use the result as one piece of information in your own business decision.

2. The basic MaxVFY process from beginning to end

Create the request

Open MaxVFY inside Shopify Admin and select Create verification request. Enter a useful reference or purpose and, if helpful, an internal note.

Copy the secure link or show the QR code

MaxVFY creates a secure link that is normally valid for 24 hours. Copy the link and send it using the method you already use to communicate with the person, or display the QR code for them to scan.

The recipient opens the request

The person opens the MaxVFY request, reviews the verification information, confirms they can continue, and proceeds with the identity check.

The recipient completes the identity check

The verification screen guides the recipient through the required steps. You do not need to collect or review their identity documents yourself.

Watch the request progress

MaxVFY updates the request as it moves from opened to continued to verification started and finally to a result.

Review the result and organize the record

Open the request to review its status and timeline. When you no longer need a finished request in your Current list, archive it. You can find it later and unarchive it at any time.

3. Creating a verification request

Reference / purpose

This field is required. Use it to tell yourself what the request is for. Examples:

  • Order #1048 – high-value return
  • Marketplace transaction – camera sale
  • Account ownership check – case 2251

The reference appears prominently in the request list and can be searched later.

Internal note

The note is optional. Use it for a short reminder that helps you understand the situation later. For example:

  • Customer contacted support before return.
  • Verification requested before high-value pickup.
  • Store manager requested an identity check.
Keep notes business-focused. Do not place identity-document numbers, passwords, payment-card information, medical information, selfies, or other unnecessary sensitive details in the reference or note.

What happens after you create it?

MaxVFY gives the request its own ID, such as:

MXV-ABCD-1234

The request begins as Not opened and receives its secure verification link.

4. Sharing the verification request

Open the request and choose the method that works best for you:

  • Copy secure link — paste the link into your normal email, message, support conversation, or other appropriate communication.
  • Show QR — display the QR code so the recipient can scan it with a phone.

Want to send it by email?

→ Copy the secure link and send it through the email system you already use.

Want to send it by text message?

→ Copy the secure link and send it through the messaging service you already use.

5. What the person being verified sees

The recipient opens a secure MaxVFY request page, reviews the verification information and consent choices, and then continues to the identity-check steps.

Do you see the person's identity document?

No. Your MaxVFY dashboard is designed to show the request progress and result—not copies of identity documents, selfies, liveness videos, biometric templates, document numbers, or extracted document information.

What do you see?

You see the request ID, your reference, your optional note, important times and dates, the current status, progress, and the final available result.

6. Understanding every request status

Not openedYou created the request

No confirmed recipient visit has been recorded yet.

The recipient moved beyond the first MaxVFY request screen.

The request can no longer continue normally.

“Link opened” and “Recipient continued” are intentionally different. Opening a link does not necessarily mean the person chose to proceed. MaxVFY shows the Continue step separately so you have a clearer picture of what happened.

7. Understanding the verification result

Verified

A Verified result means the required identity checks returned a successful result for that verification.

Verification unsuccessful

This means the verification finished but could not be approved. MaxVFY uses the broad label Verification unsuccessful because there can be more than one reason an identity check does not succeed.

Want more detail about why a verification was unsuccessful?

→ Use the result shown in MaxVFY as the available merchant outcome. MaxVFY intentionally keeps the merchant view limited rather than exposing identity-document details.

Want to change an unsuccessful result to Verified?

→ Create a new verification request if another legitimate identity check is needed. MaxVFY does not let a merchant manually change an unsuccessful result to Verified.

Does Verified mean the transaction is safe?

No. A successful identity check does not guarantee against fraud, disputes, chargebacks, misrepresentation, ownership problems, or future behavior.

8. Cancelling requests and creating fresh links

Cancel request

You can cancel an eligible active request from the request details. MaxVFY asks you to confirm before cancelling it. The cancelled request stays in your history until you choose to archive it.

Fresh 24-hour link

If a request expires or is cancelled before the identity check has actually started, MaxVFY may offer a fresh 24-hour link.

A fresh link is meant for an unused verification request. If the identity check already started, create a new request when another legitimate verification is needed.

Want to reuse an unsuccessful verification link?

→ Create a new verification request. An unsuccessful request is finished and its secure link is not reused for another attempt.

9. Searching, filtering, archiving, and unarchiving

Search by keyword

Search by MaxVFY request ID, reference, or words inside your note.

You can also use these shortcuts:

  • note or notes → show requests that contain an internal note.
  • note:refund → show notes containing “refund”.
  • reference or ref → show requests with a reference.
  • reference:1048 → show references containing “1048”.

Filter by status and date

Combine a keyword with status, From date, and To date to narrow down your history.

Current, Archived, and All

  • Current requests → your normal working list.
  • Archived requests → requests you chose to move out of the Current list.
  • All requests → both current and archived requests.

Which requests can you archive?

You can archive finished requests: Verified, Verification unsuccessful, Expired, or Cancelled. Active requests stay visible so you do not accidentally hide a request that still needs attention.

Does Archive delete the request?

No. Archive simply moves it out of your Current list.

Want it back in Current requests?

→ Open the archived request and select Unarchive request.

How many requests appear at once?

MaxVFY shows 10 matching requests at a time, with Previous and Next/page controls when there are more.

10. How MaxVFY billing works

MaxVFY uses simple pay-as-you-use pricing:

  • $0 monthly subscription fee
  • $2.99 per successfully completed verification

What does not create the successful-verification charge?

You are not charged the $2.99 successful-verification fee simply because you create a request, the link is opened, the request expires, you cancel it, or the result is unsuccessful.

Where will the charge appear?

When MaxVFY billing is active, usage charges are handled through Shopify and appear according to your Shopify billing cycle.

What if the same successful result is reported more than once?

MaxVFY is designed to recognize the same completed verification so repeated status updates do not intentionally create another charge for that same successful verification.

Think there is a billing mistake?

→ Use MaxVFY Support and include the request ID, approximate date, store domain, and a short description of the issue. Do not send identity documents, selfies, passwords, or payment-card information.

11. What MaxVFY keeps in your merchant history

Your MaxVFY request history can include

  • Your MaxVFY request ID.
  • Your reference or purpose.
  • Your optional internal note.
  • Request progress and important times and dates.
  • The verification result.
  • Archive status and request history.
  • Billing information needed to match a successful verification to a Shopify usage charge.

What you will not see in your MaxVFY merchant dashboard

  • Copies of identity documents.
  • Selfies or liveness videos.
  • Biometric templates.
  • Identity-document numbers or extracted identity-document contents.

Does MaxVFY need your Shopify customer or order records for this process?

No. The current MaxVFY workflow is designed so you can create manual verification requests without giving MaxVFY access to your Shopify customers, orders, products, inventory, locations, checkout, or fulfillment information.

12. What to do when you need a feature beyond the basic MaxVFY workflow

MaxVFY is intentionally focused on a simple process: create the request, share it, follow the progress, review the result, and keep your history organized. When you need something outside that basic process, use the practical option shown below.

Send a request by email
Copy the secure link and send it through the email system you already use.
Send a request by text message
Copy the secure link and send it through your normal messaging service.
Verify a specific order or transaction
Create the request when you need it and place the order number or transaction description in Reference / purpose.
Identify which customer or transaction the request belongs to
Use a clear reference such as “Order #1048 – high-value return” and add an internal note if helpful.
Hold, cancel, refund, or fulfill an order
Make that decision and take the action directly in Shopify after reviewing the MaxVFY result.
Review identity-document details
Use the verification result shown in MaxVFY. The merchant view is intentionally designed around the result rather than copies of identity documents.
Run another check after an unsuccessful result
Create a new verification request when another legitimate identity check is appropriate.
Verify several people
Create one MaxVFY request for each person so each verification has its own secure link and history.
Find older verification records
Use keyword search, status/date filters, and Current / Archived / All views.
Let a staff member use MaxVFY
Manage the staff member's access through your Shopify store permissions.
Change the 24-hour request period
Use the standard 24-hour request. If an unused request expires, create a fresh link when MaxVFY offers that option.
Connect MaxVFY to another business process
Use the MaxVFY merchant dashboard for the identity check and complete your other business steps in the tools you already use.
Assess fraud or chargeback risk
Use MaxVFY for identity verification, then combine the result with your normal fraud, payment, order, and business review.
Know whether a person is trustworthy
Treat the MaxVFY result only as confirmation of the identity check. Make your own decision about the transaction.
MaxVFY will continue to improve. Additional merchant conveniences may be added over time, but the current workflow is intentionally kept simple and focused.

13. Common problems and what to do

The recipient says the link does not work.

Open the request in MaxVFY and check its status. It may have expired, been cancelled, or already reached a final result. If an expired or cancelled request never reached the verification step, MaxVFY may offer a fresh 24-hour link.

I sent the link, but MaxVFY still says “Not opened.”

MaxVFY does not know whether your email or message was delivered. “Not opened” simply means MaxVFY has not recorded a confirmed visit to the secure request.

The request says “Link opened” but not “Recipient continued.”

The request page was opened, but the person has not yet chosen Continue. This helps you distinguish between a simple visit and someone intentionally moving forward.

The request has been at “Verification started” for a while.

The person may still be completing the identity check or the result may still be processing. Give it a reasonable amount of time. If the status remains unchanged unexpectedly, contact MaxVFY Support and include the request ID.

The result is “Verification unsuccessful.”

The identity check finished but could not be approved. The old link cannot be reused for another attempt. Create a new request if another legitimate verification is needed.

I archived a request and it disappeared.

That is expected. Archived requests are removed from Current requests. Choose Archived requests or All requests to find it.

I want an archived request back in Current requests.

Open it from Archived requests and select Unarchive request.

I typed “note” in search and expected to see requests with notes.

That shortcut is supported. Search note or notes to find requests that contain an internal note. You can also search a word from the note or use note:keyword.

I cannot find an older request.

Switch to All requests, clear any status or date filters, then search by the reference, a word in your note, or the MaxVFY request ID.

I accidentally put sensitive information in a note.

Do not add more sensitive information. Contact MaxVFY Support and provide the request ID. Do not repeat the sensitive information in the support form unless you are specifically asked for it through an appropriate secure process.

14. Merchant FAQ

Do I need to verify every customer?

No. MaxVFY is an on-demand tool. You decide when an identity check is appropriate.

Does MaxVFY automatically accept or reject an order for me?

No. MaxVFY gives you the identity-verification result. You decide what to do next.

Does MaxVFY prevent chargebacks?

No. Identity verification can give you another useful piece of information, but it cannot guarantee that a dispute, chargeback, fraud attempt, or loss will not occur.

Can I verify someone under 18?

No. The current MaxVFY verification workflow is intended for adults age 18 or older.

I need to change a reference or note after creating the request. What should I do?

→ Create the reference and note carefully when you make the request. If the reference is materially wrong and the identity check has not started, cancel it and create a new request with the correct information.

I want to permanently remove a request from my normal list.

→ Archive it. Archive keeps your Current list clean while preserving the request history. For a privacy or deletion request, use MaxVFY Support.

Can I archive an active request?

No. Finish or cancel the active request first. MaxVFY only lets you archive requests that have reached a final status.

Can I use the same request for two different people?

No. Create a separate request for each person so each identity check has its own secure link and history.

Is there a monthly verification limit?

MaxVFY does not advertise a monthly verification quota. Reasonable safeguards may protect the service from misuse. Successful verifications are billed according to the current Shopify App Store pricing.

I need more than 24 hours. What should I do?

→ Use the standard 24-hour request. If the request expires before the identity check starts, create a fresh link when MaxVFY offers that option.

Can I upload the customer's ID myself?

No. The person being verified completes the identity check directly through the secure verification experience.

Can my staff use MaxVFY?

→ Manage staff access through your Shopify store permissions. MaxVFY runs inside Shopify Admin.

I need a spreadsheet of my verification history.

→ Use search, filters, and Current / Archived / All views to locate the records you need inside MaxVFY. A separate spreadsheet export is not part of the current merchant workflow.

Can MaxVFY automatically pull my order number into the request?

→ Enter the order number yourself in Reference / purpose. This keeps the current workflow simple and avoids giving MaxVFY access to your Shopify order records.

Can I see exactly who opened the link?

No. An opened link only tells you the secure request page was visited. The identity-verification result comes after the person completes the identity check.

I want to send the QR code as an image.

→ Display the QR code from the request details for the recipient to scan, or share the secure link directly.

Can I change the identity-check steps?

The current MaxVFY workflow uses the standard verification experience provided for the app. Merchant-by-merchant customization is not part of the basic workflow.

Does MaxVFY certify that my business meets every KYC or AML requirement?

No. MaxVFY provides an identity-verification workflow. It does not certify that every legal or regulatory requirement for your business or use case has been satisfied.

Can I use MaxVFY for employment, housing, lending, insurance, or credit decisions?

MaxVFY is not presented as an employment-screening, tenant-screening, credit-decision, insurance-underwriting, or consumer-reporting service. Use it only for a purpose you have independently determined is lawful and appropriate.

What if Shopify is temporarily unavailable?

Because MaxVFY runs inside Shopify Admin, you may need to wait for Shopify to recover before using the merchant dashboard. Try again once Shopify is available.

Helpful information to include: request ID, approximate date and time, your Shopify store domain, the status shown in MaxVFY, and what you were trying to do.
